"HOW ORDERS PROCESS AT HMI GMBH IN GERMANY"

The process of Orders & Inquiries!

It might looks simple or few step job what we offer at HMi. Because of that we have listed the most parts and steps of how an order process at our company.

Looking closely to the job orders, inquiries we get and services we offer, can be a great proof of how many people working behind our system in order to run smoothly all the orders and inquiries all the time.

Here are the order of how we process our jobs, projects, contracts, inquiries, and orders at HMi.

When we receive an Inquiry online, or per mail- we first send it to our sales team to check it closely.

• Our Sales team start looking to the inquiry – and share the inquired Items with our warehouse and printing products with our printing factory.

• Our Warehouse will have look to the Inquiry and confirm the available quantity and send it to the sales agent back.

• Our sales agent starts contacting the customer per mail, phone, what’s app or in person.

• As soon as the customer accepts to place an order, sales agent must send the inquiry with graphics/ customer Logo image to the Graphic design Department.

• Graphic Design team must check the customers Logo, and share an artwork with production/ Printing
department in order to make sure what types of printing methods can be used for customers logo/ design on the item they have chosen.

• Again, after Confirming the printing methods and sending it back to the sales agent, customer must be notified with a quotation or official offer.

• Customer will decide to choose any item or items, and let the sales agent know.

• As soon as Sales agent knows what Item/ items customer has decided to choose, he/she must share the order details with accounting department.

• Accounting department will issue a Order confirmation as a PDF along with
– Artwork of the product
– Invoicing address
– Delivery Address
– Checking the type of production and shipping

and send it to the customer digitally or as printed version.
• Customer must check all the details, information, delivery address, name and street names, and all the details written on the order confirmation, and sign it as approved.

At this step, Customer must confirm the order and by confirming the order, an Invoice will be issued by accounting department and send to the customer.

• Sales agent must check with the customer for payment confirmation to share it with the accounting department.
As soon as Payment is done, and received at our bank accounts, accounting department will notify the sales agent to process the order further.

• By confirming and paying the order, now the customer and our graphic design team must be in touch together in order to check which position, what size, which color, what type of finishings must be used while printing.

By confirming the artwork, order approval copy will be send to our warehouse.
• At our Warehouse office, we manage all the orders coming to our company by timing of the orders, which means Express will be arranged faster than standard orders, and so on.

• After arranging the timings, the order approval will be set for the warehouse to ship/ deliver/ move to the production area.

• After the shipment delivers from warehouse to Printing/ production area, printing will be started.

• For every single product that we do customization/ branding we first make a sample one. Our Production management will check it, approve it if no revisions needed.

• By approving the printing sample, we only then start printing the complete order.

• After finishing the printing process, we then send it to packing department which they pack the items and check all the items one by one.

After this step, we move the boxes/ orders/ items/ products to our logistic department for arrangement and shipping process.

• At Logistic Department we label each order one by one, noticing the type of shipping each customer has chosen, and the majority of each order one by one.
